How to fill in the schedule
- Start with the fixed points: school and daycare times, pickups, and each child's regular activities. Write them into the rows for each child.
- Mark the hours your au pair is on duty. Everything else is free time, including the evenings you have not agreed on in advance.
- Write the days off into the week as well. Your program sets them too, and they should be as easy to see as the working hours.
- Add up the hours per day and for the week in the totals row, and compare them with the limit of your program before you share the plan.
- Go through the finished week together, and hand over a new copy when something changes rather than a message.
School holidays
Holidays change the whole week: the children are home, activities pause and the hours shift. Fill in a separate copy for holiday weeks instead of crossing out the term-time plan, and agree on it before the holidays start. Switching to a summer schedule →
Paper or app?
A printed plan works well for the first weeks and for families whose week rarely changes. When school times, activities or shifts move every week, the printout goes out of date quickly and two versions start to circulate. Which weekly limit applies
The limit depends on the program, not on the template. The PDF's example and totals row are set up for a 30-hour week, the limit in Germany. In the US J-1 program it is 45 hours a week and 10 a day (30 a week for EduCare). Other countries set their own numbers, each on our rules pages with its official source.
