Au Pair Time Tracking App — No More Spreadsheet Guesswork

AuPairSync gives your au pair an hours log you can both trust. Accepted babysitting counts on its own, the rest takes one tap per shift or a quick entry afterwards, and every week your au pair submits comes to you to confirm.

The Problem with Manual Hour Tracking

Most au pair families track working hours in a paper notebook, a shared Google Sheet, or not at all. By the end of the month, memories have faded, babysitting evenings were never written down, and both sides end up guessing.

This creates tension — exactly the kind of friction that damages an otherwise great au pair arrangement. Au pairs worry about being underpaid; host parents worry about exceeding legal working-hour limits.

Au pair working hours are legally regulated in most countries. Accurate tracking isn't just convenient — it's required.

How the AuPairSync Time Tracking App Works

1. Your au pair keeps the log

Your au pair turns on “Keep an hours log” in the app, taps once when a shift starts and once when it ends, or uses “Add time” to enter a day afterwards. Babysitting requests they accept count on their own, with the agreed start and end time. Nobody else sees the hours until a week is submitted.

2. They submit the week, you confirm it

At the end of the week your au pair taps “Submit week”. The week lands in your hours log under “Waiting for you”, where you confirm it or ask about it. A queried week stays open until you agree, and confirmed weeks stay in the log.

3. Agreed hours, visible to both

You enter what the contract says: the weekly hours, the maximum per day and the day the week starts. Your au pair sees these figures and every change to them, and a week that goes over the agreement shows by how much.

Built for Your Program

A parent picks the program instead of typing in numbers; the au pair sees it but cannot change it. There are four options: US au pair (J-1) with 45 hours a week and 10 a day, US EduCare (J-1) with 30 and 10, Germany with 30 hours a week and 6 a day, or your own figures. For the two J-1 programs, the app also warns you before babysitting or a calendar event would take your au pair's day off (the program requires 1½ a week) or their last free weekend of the month, and keeps the paid vacation that's left in view. For Germany, only the weekly and daily hours are checked. Time off can be booked as Vacation or Other. The balance shows the allowance, the days taken, the approved days still ahead and what is left. An au pair can ask for a morning or an afternoon off on a single date, and a parent can adjust the balance by half a day, with a reason that is kept in a history. A half day shows as "Morning off" or "Afternoon off" in the calendar, the agenda and on the dashboard, and a half day on a weekend uses no leave.

These warnings work from the plan, so they help even before anyone logs an hour. The figures for Germany are guidance from the Bundesagentur für Arbeit's information sheet for au pairs, not a statute.

⚖️ Working-Hour Rules and Their Source

Working hours show where the limits of your program come from: the source, its edition and the rule version. Germany is a program next to the two US programs, with 30 hours a week and 6 hours a day as general guidance.

When an event or babysitting is planned, the app checks the planned hours of the day and the week and says when they go over the limit. A submitted week keeps the rule version it was checked against, and the monthly report names the rule source and the rule version. This is guidance, not legal advice; check your contract and your program's requirements.

Why Families Choose AuPairSync for Time Tracking

One Tap per Shift

Start and end a shift with a tap. Forgot? Add the time for any day afterwards. Babysitting accepted in the app is already in the log.

Settled Week by Week

Each week is settled while everyone still remembers it: submitted by your au pair, confirmed or queried by you. Nobody has to rebuild a month from memory. A monthly report lists hours, time off, pocket money and expenses for one month as a PDF or spreadsheet, for your family's own records. It is not an official, tax or legal document.

Limits in View

Every week shows the hours against what you agreed. On a J-1 program the app warns you before a plan takes a day off or the last free weekend.
